“Field inspection app” covers a lot of ground, and the checklist is usually what tells the versions apart. If drivers are checking their own truck before it leaves the yard each morning, a pre-trip inspection app is the narrower build, with the FMCSA signature rules baked in. When the thing being checked is a fire extinguisher or a forklift on a recurring cadence rather than a vehicle, that is a safety inspection app. And a fleet that needs periodic, DOT-style inspections across many vehicles, not just a daily walk-around, is better served by a vehicle inspection app.

Construction inspection apps and equipment inspection apps tend to differ mainly in what gets checked: framing, rebar placement, and pour sign-offs for a job site, versus hours-of-use and wear points for a piece of equipment. What the rules say

Which inspections require photo evidence, and for how long.

People building an inspection app often assume federal rules demand a photo for every record. For the inspection types with an actual federal rule, that's not what the text says.

Vehicle inspections (FMCSA)

Under 49 CFR Part 396, a driver vehicle inspection report (DVIR) covering brakes, steering, lighting, and tires only has to be kept for three months from when it was written (49 CFR 396.11(a)(4)). An annual or periodic inspection report has to be kept longer, fourteen months from the inspection date (49 CFR 396.21(b)(1)). Neither requirement calls for a photograph, only a written record of what was checked, by whom, and when.

Crane inspections (OSHA)

OSHA's crane standard, 29 CFR 1926.1412, splits documentation into monthly and annual inspections. Monthly inspection records must be documented and retained for a minimum of three months (29 CFR 1926.1412(e)(3)). The more thorough annual, or comprehensive, inspection has a longer floor: a minimum of 12 months (29 CFR 1926.1412(f)(7)). Both subsections require the items checked, the result, and the inspector's name, signature, and date. Again, no photograph is mandated by the text.

Building and permit inspections

This is the category people usually mean when they ask about photo evidence, and it's also the hardest to give one answer for. Building and permit inspections are governed at the city or county level by the local building department, not by a single federal standard, so whether photo documentation is required for a given inspection depends entirely on your local jurisdiction's code and permit process. Check with your local authority having jurisdiction (AHJ) rather than assuming a national rule applies.
